Job Description

SullivanHayes Brokerage, a leader in commercial real estate brokerage, is seeking an exceptional administrative assistant to assist our brokers on a daily basis.

Critical skills necessary for success in this position include: being a self-starter, enjoy working with minimal supervision, and having the ability to think beyond the assignment. A thorough knowledge of the Microsoft Office suite is a must as well as the ability to handle and prioritize multiple tasks. Successful individuals must have the ability to work well under pressure alongside strong personalities while managing competing demands. Accuracy, attention to detail, strong organization skills and a dedicated work ethic are required. You must be a team player, with a positive attitude and a willingness to assist with whatever is needed.

What You Will Do:

  • Preparing correspondence, letters of intent, listing agreements, and other commercial real estate related documents using various software & office applications
  • Compilation and preparation of marketing materials including e-flyers, offerings of memorandum, tour books and presentations
  • General Administrative support (confidential reports, correspondence, and client database management) and other assigned tasks in support of broker activities
  • Schedule & organize basic calendar activities such as important listing alerts, meetings, agendas, luncheon arrangements, travel plans, and department activities under regular direction
  • Create and send out periodic email blasts through the company database on each broker’s listings
  • Maintain filing system on all company listings and for all finalized sales and lease transactions
  • Compile and complete commission or fee booking documentation
  • Ordering the installation and removal of all property signage for brokers listings
  • Working with online marketing sites to ensure properties are being marketed accurately
  • Supply ordering and receiving for typical office products used by the brokers
  • Perform additional assigned clerical and administrative projects as necessary

You Should Have:

  • 2+ years of office work experience
  • Expertise in Microsoft Word and Excel
  • Real estate experience is a plus

The typical base pay range for this role is $50,000/year - $55,000/year + benefits. This salary range is a good faith estimate of what SullivanHayes may pay for this position at the time of posting. Actual compensation may vary based on skills, qualifications, and experience.
